00:00:33: In today’s lesson, we will focus on patient insurance, privacy policy, and informed consent. So, let’s start! The reception desk is the heartbeat of any dental practice — and the quality of communication there shapes every patient's experience from the very first moment. Whether it's a clear explanation of consent forms, or a question about insurance, every interaction is an opportunity to make a patient feel valued, safe, and well cared for. Der Empfang ist das Herzstück jeder Zahnarztpraxis — und die Art der Kommunikation dort prägt das Erleben der Patientinnen und Patienten vom ersten Moment an. Ob Einverständniserklärungen verständlich erläutert oder Fragen zur Versicherung beantwortet werden — jedes Gespräch bietet die Chance, Patientinnen und Patienten Wertschätzung, Sicherheit und eine gute Betreuung zu vermitteln.

00:01:47: In Germany, the Krankenkassenkarte, or Gesundheitskarte, is a standard part of patient registration. When communicating with English-speaking patients, you will need to explain this clearly: "Do you have your insurance card with you today?" "I'll need to scan your health insurance card to register you in our system — do you have it to hand?" "Are you covered by public health insurance, or do you have private insurance?" If a patient does not have their card with them, or if they are a self-paying patient, you will need to handle differently. You can start by saying the following: "Do not worry — if you don't have your card with you today, we can still see you. Could you bring it along to your next appointment?" „In the meantime, I'll just need to take your insurance provider's name and your insurance number if you have it." Here are some helpful terms for "Versichertennachweis": digitaler Nachweis is digital proof of insurance or digital verification document; elektronische Ersatzbescheinigung is electronic replacement certificate or temporary electronic insurance certificate; Versichertennachweis is proof of insurance.

00:03:54: Under GDPR — the General Data Protection Regulation — dental offices are required to inform patients about how their personal data is collected, stored, and used. In English, this document is called the Privacy Policy or Data Protection Declaration. Patient-friendly phrases: "Before I complete your registration, I'd like to give you our privacy policy to read through." "This document explains how we collect, store, and use your personal data in accordance with GDPR." "We keep your data strictly confidential and only share it with other healthcare providers involved in your treatment, with your permission." "Your data is stored securely and will never be passed on to third parties for marketing purposes." "Do you have any questions about how we handle your personal data?" "Please sign here to confirm that you have received and understood our privacy policy."

00:05:58: Informed consent is a basic principle in healthcare. It means that the patient has been given all the relevant information about a procedure and has agreed to proceed. Patient-friendly phrases: "This is our general consent form for examination and dental treatment." "By signing this, you are giving us permission to examine your teeth and carry out any agreed treatment." "Please be assured that we will always discuss any treatment with you and obtain your specific agreement before we begin." "You have the right to refuse or withdraw your consent at any time — just let us know." "If you have any questions about what a specific treatment involves, please don't hesitate to ask — either myself or the dentist will be happy to explain." "Could I ask you to sign and date this form here, please?"

00:07:25: There are a few additional pieces of information that are helpful to collect or communicate at registration. Patient-friendly phrases: "We do have a cancellation policy — we kindly ask for at least 24 hours' notice if you need to reschedule." "Is there anything else we should be aware of before your appointment — for example, anxiety about dental treatment?" "Your appointment today is with Dr. Schuster and should take approximately 45 minutes." "Please help yourself to a seat in the waiting area — Dr. Schuster will be with you shortly." "Can I offer you a glass of water while you wait?"

00:08:32: Acknowledging dental anxiety at registration is particularly valuable — it allows the team to prepare and to inform the dentist before the patient even enters the surgery. You can say: "Thank you for letting us know — we completely understand, and you're certainly not alone. I'll make a note on your file so that Dr. Schuster is aware, and we'll make sure to take everything at your pace today." A tip from me: Select 2-3 phrases each week and keep practicing these phrases until they feel completely natural.

00:09:30: Here is your overview of the vocabulary of this week’s lesson: to be aware of – über etwas Bescheid wissen; to make a note of – vermerken, etwas aufschreiben; to store – etwas speichern; informed consent – Einwilligungserklärung; data protection declaration– Datenschutzerklärung; anxiety – Angst; cancellation policy – Absagerichtlinien; emergency contact – Notfallkontakt; permission – Erlaubnis; third parties – Dritte, Drittparteien.
